File Too Big to Upload? How to Make a PDF Smaller

Job portals, college applications, government forms and email all have a size limit, and PDFs are often the file that breaks it. "Maximum allowed file size is 2 MB" is one of the most common messages people search for. The fix is usually simple once you know what is taking up the space.

Why your PDF is so big

Text costs almost nothing in a PDF. A 30-page report exported from Word is often under 1 MB. What makes PDFs large is images, and the biggest culprit is scanning. A scanned page is a full photograph of the paper: at 300 DPI in colour a single page can be 1 to 3 MB, so a ten-page scan easily reaches 20 MB.

Phone photos turned into PDFs have the same problem. A modern phone camera produces 3 to 5 MB per picture, far more detail than any upload form needs.

How to get under the limit

Work through these in order and stop as soon as the file fits:

  1. 1Compress with a size target. In Compress PDF, choose the limit the form gives you, such as 2 MB. It stops as soon as the file fits rather than shrinking it as far as possible, so you keep the best quality the limit allows.
  2. 2Switch to grayscale. On a black-and-white document, removing colour usually saves another 20 to 30 percent.
  3. 3Drop pages nobody asked for. Blank backs of double-sided scans, cover sheets and instructions all add weight. Delete PDF Pages or Remove Blank Pages takes them out.
  4. 4Rescan at a lower setting. If you still have the paper, scanning at 150 DPI in grayscale gives a much smaller file than compressing a 600 DPI colour scan afterwards.

Check the result before uploading. Open the compressed file and zoom in on the smallest text and on any signature. Both should still be clear.

When the file still will not fit

Some documents cannot reach a very small limit and stay readable. A twelve-page colour scan under 200 KB is an example. If that happens, see whether the form accepts several files and split the document with Split PDF, or upload only the pages it actually asks for.

For email, Gmail allows attachments up to 25 MB. Anything larger has to go as a shared link, for example through Google Drive, instead of as an attachment.

Why did compressing barely change the size?

The PDF is probably mostly text already, which has little to remove. If it is still too large, the size is likely coming from embedded fonts or many pages; removing unneeded pages is the next step.
