What Bates numbering is for

Bates numbering assigns every page in a production a unique, sequential identifier so it can be cited unambiguously. In litigation, discovery productions can run to tens of thousands of pages across many documents; without a stable per-page identifier there is no reliable way for opposing counsel, the court and your own team to refer to the same page.

The convention is a prefix identifying the producing party or matter, followed by a zero-padded number: ABC-000001, PLAINTIFF-000042, EXHIBIT-A-000007. Zero padding keeps the identifiers the same width so they sort correctly as text.

Choosing a prefix and a starting number

The prefix should identify the source unambiguously and stay constant across the whole production. Changing it midway defeats the purpose. Common patterns are the producing party abbreviated, the matter number, or an exhibit label.

Six digits is the usual default, covering up to 999,999 pages. Use more only if the production genuinely warrants it - unnecessarily wide numbers are harder to read aloud in a deposition.

The starting number matters when you produce in batches. If your first production ended at 004500, the next should start at 004501 rather than restarting, so the numbering remains unique across the whole matter.

Stamp position and what it must not cover

Numbers are placed in the bottom-right margin, which is the accepted convention and the area least likely to carry content. Before producing, check pages with unusual layouts - full-bleed scans, landscape exhibits, spreadsheets printed to the edge - where the margin may be occupied.

A Bates number that obscures substantive content can be challenged, so it is worth a quick pass through the stamped document rather than producing it unchecked.

Flatten before you produce

Stamping writes the numbers into the page content, but if the source document contains form fields or annotations those remain editable. Running the result through Flatten PDF before production locks everything into static page content, which is what most court e-filing systems expect.
